About the Role
As a Part-time Payroll Administrator, you will be supporting both the HQ and Studio Teams across the U.S. with your knowledge and skillset within payroll administration. You will be the expert we rely on as Ephemeral continues to expand our total compensation packages, and open in new cities across the United States with unique time and attendance rules and ever-updating tax codes.
This role will be Part-Time and paid at $30-40 per hour.
You’re excited about this opportunity because you will…
- be responsible for processing new hires, wage changes and notifications, wage deductions and 1099 vendor payments for a 150+ and growing U.S.-based workforce. You’ll also help launch and oversee our 401(k) benefit and new HRIS adoption, coming in 2023.
- prepare, maintain and reconcile accurate records and reports of payroll transactions, including quarterly and year-end reports, for both weekly and bi-weekly pay cycles.
- process special payrolls including bonuses, separation payments, and year-end adjustments.
- dig into and interpret new legislation impacting payroll and respond to requests from government agencies, including notices of wage garnishments and unemployment insurance inquiries.
- use your years of experience to identify opportunities to automate and improve current processes and recommend updates to payroll processing software, systems, and procedures.
- prepare our employees for tax time by reconciling W-2 forms to ensure accurate entry of all compensation transactions, withholdings, taxable fringe benefits, and quarterly Federal/State returns and amendments.
- act as a trusted People partner by resolving payroll issues and answering employee questions about vacation, sick leave, banking, garnishments, payroll deductions, retroactive pay calculations, tax questions, and other related topics.
- manage our 401(k) account, including interface with our HRIS, audits of changes, reviewing loan requests and weekly drawdown approvals.
- assist in the preparation of 401(k) audit, analysis, and compliance filings.
- oversee and regularly audit employee records, tax withholdings, 401(k) contributions, and benefits withholdings for accuracy - you’re a stickler for detail!
- provide administrative reporting, including responding to employment verification requests, reporting quarterly PTO balances to managers and similar.
- lead and support ad hoc People Team projects.

- you can geek out on all things payroll and have extensive knowledge of the payroll function including preparation, balancing, taxes, best practices, legislation, and regulation.
- you will keep Ephemeral compliant with all matters such as multi-state tax withholdings, 401K audits, worker's compensation audits, wage and hour laws, and external financial audits, and provide reporting, as needed.
- we can rely on you for your knowledge of Federal, State, and Local labor laws, payroll tax requirements, payroll regulations, and industry changes that affect payroll operations.
- you can maintain employee confidence and protect payroll operations by keeping information confidential.
- you have familiarity with PEO payroll software such as JustWorks, ADP, or Rippling.
- you have excellent organizational skills and attention to detail.
- you possess strong analytical and problem-solving skills - you love a challenge!.
- you have the ability to work independently and complete tasks on tight deadlines.
- you can handle complex and sensitive payroll requests with discretion.
- you have five to seven years of related experience and an interest in a part-time (2 days per week) schedule.
- you have experience working in multi-state private and public companies, processing end-to-end payroll.
- you’re excited about and have experience in driving change to streamline payroll processes and find efficiencies.
- your skills are intermediate to advanced with Excel/Google Sheets proficiency and the ability to work with large data sets.
Nice to Haves
- Bachelor’s degree in Accounting, Business Administration, or related field preferred.
- Certified Payroll Professional certification (CPP) is desired, but not required.
