About the Job:

This position is responsible for day-to-day coordination related to Helaina's operations for the office, lab and onsite logistics. Under the direct supervision of the Chief People Officer, the Operations Coordinator will be the day-to-day onsite point of contact for office and lab maintenance and purchasing needs. They will also support the general administrative function and activities for logistics and supply chain, including shipping and receiving of effera™.

What You'll Do:

Office & Lab Operations

  • Coordinate office and facilities maintenance with building, office and lab vendors, i.e., engineering, cleaning, electrician, internet, etc.
  • Maintain equipment inventory for office and lab, and coordinate maintenance as needed - both preventative and for repairs.
  • Manage work order board, track progress and follow-up on open tickets with the appropriate contacts.
  • Attend safety and facilities meetings, and any additional meetings essential for the responsibilities.
  • Maintain and monitor the visitor log.
  • Manage Helaina's access card inventory and set-up process.
  • Support lab and office inventory management and purchasing. Receive, unpack and organize office and kitchen supplies.
  • File and report packing slips and receipts for accounting.

Logistics

  • Ensure that commercial and lab shipments are made on-time and issue-free.
  • Track and report on daily shipment activities.
  • Ensure that transportation arranged complies with applicable import/export, food safety, and/or dangerous goods regulations.
  • Manage shipping document retention to support quality assurance and regulatory requirements.
  • Ensure that over/short/damage claims and freight invoices are processed in a timely and efficient manner.
  • Support inventory control activities including inventory tracking, cycle counts and physical inventory.
  • Support shipment receiving and pack-out, order packaging and handling materials to support on-site shipping operations.

About You:

  • You have an Associate's Degree, Bachelor's Degree, or 5+ years of experience in an office operations, lab operations or customer service role.
  • You are self-aware, curious, and have a desire to learn.
  • You are personable, with outstanding written and verbal communication skills and a customer-service mindset.
  • You are process-oriented and organized with excellent attention to detail and deadlines.
  • You have outstanding collaboration and interpersonal skills and the ability to work across all levels and functions.
  • You are willing to roll up your sleeves and be part of a lean and nimble team.

Compensation is market-competitive with a yearly cash base of $50k - $60k plus equity.
