About the Role
We are seeking a highly organized and detail-oriented Document Control Specialist to join our growing operation team, lead and manage the documentation lifecycle across product development and manufacturing. This role will serve as a key driver in our change management ecosystem, including ownership of our Change Control Board (CCB) process. The ideal candidate brings strong expertise in Product Lifecycle Management (PLM) process, configuration control, and Bill of Materials (BOM) establishment, with proven ability to coordinate cross-functional stakeholders to ensure accuracy, traceability, and timely execution of changes. In our fast-paced startup environment, the ideal candidate must also demonstrate the ability to quickly adapt to change and respond with agility and sound judgment.
Key Responsibilities
- Maintain and administer the CCB(Change Control Board) process, ensuring all documents are current, properly released, and archived.
- Coordinate and control Engineering Change Orders (ECOs), Manufacturing Change Orders (MCOs), and document updates in compliance with internal change management procedures.
- Own the creation, revision, release, and control of all engineering and production documentation, including drawings, specifications, procedures, and BOMs.
- Ensure version control and traceability of product documentation across multiple programs and product lines.
- Establish and manage BOM structure accuracy, including part numbers, descriptions, sourcing data, and revision history.
- Collaborate with cross-functional teams including R&D, Manufacturing, Quality, and Supply Chain to ensure timely and accurate document releases.
- Support audits by providing documentation and change history as needed.
- Train internal users on PLM system/process best practices and document workflows.
Required Qualifications
- Bachelor’s degree or higher in Engineering, Information Management, or a related technical field; or equivalent practical experience.
- Minimum 3–5 years of experience in document control or configuration management within a hardware or manufacturing environment.
- Strong knowledge of PLM platforms (preferably Arena, Agile, or Windchill).
- In-depth understanding of BOM structures and product configuration principles.
- Strong attention to detail and exceptional organizational skills.
- Proficient in Microsoft Office Suite and Google Workspace.
Preferred Qualifications
- Experience working in or collaborating with startup companies, with demonstrated ability to navigate ambiguity and rapid change.
- Experience working with contract manufacturers and managing product documents across global teams.
- Familiarity with engineering documentation standards (e.g., ASME Y14.100) and product change control processes.
- Familiarity with ERP systems and how they integrate with PLM.
- Experience supporting regulatory and quality audits (e.g., ISO 9001, ISO 13485).
- Strong communication skills in both English and Mandarin is a plus.
