About the Role

We are hiring an Office Manager, People Operations to oversee daily office operations and provide broad support across people operations, facilities, IT, onboarding, and internal knowledge management. This is a hands-on, generalist role for someone who is organized, resourceful, service-oriented, and energized by a fast-moving startup environment where the playbook is still being written.

You will be responsible for ensuring employees have what they need to do their best work: removing friction, anticipating needs, and following through on requests quickly and reliably. In addition to running the office, you will work directly with the VP of Finance & Operations on strategic projects including software evaluation, tool adoption, knowledge management, and operational initiatives that help the company scale.

This role is ideal for someone who loves operations, employee support, and process building, and who is comfortable moving between tactical execution and cross-functional projects. In this role, you will:

Run office operations and employee support

  • Manage day-to-day office operations including facilities, supplies, vendor relationships, purchasing, and expense tracking.

  • Serve as the primary point of contact for employee requests, ensuring issues are resolved promptly and staff have what they need to operate effectively.

  • Identify operational gaps and implement scalable processes as the company grows.

  • Maintain office budget inputs, purchasing workflows, and vendor coordination with strong attention to detail.

Manage facilities, vendors, and space planning

  • Serve as the primary liaison with the landlord and building management on facility-related matters.

  • Coordinate and track maintenance and repair requests, following through to resolution.

  • Manage relationships with facilities vendors including cleaning, security, general contractors, and other service providers.

  • Support future office and lab space buildouts by coordinating contractors, vendors, and internal stakeholders.

Own IT coordination, onboarding, and offboarding

  • Manage employee hardware procurement, setup, inventory tracking, and asset management.

  • Serve as the first point of contact for basic IT issues and coordinate with external IT support or vendors as needed.

  • Manage software licenses, system access provisioning, account management, and access removal.

  • Own the end-to-end onboarding and offboarding processes, including equipment setup and return, systems access, orientation, and related logistics.

  • Continuously refine onboarding so new hires are fully set up and welcomed from day one.

Support people operations, recruiting, and compliance

  • Support benefits administration by fielding employee questions and coordinating with HR or benefits providers as needed.

  • Support recruiting coordination including interview scheduling, candidate communications, and ATS management.

  • Maintain accurate employee records and support compliance with applicable labor laws and internal policies.

  • Assist in drafting and updating HR policies and employee handbook documentation.

  • Handle confidential information with discretion, sound judgment, and professionalism.

Build operations systems, knowledge management, and culture

  • Work directly with the VP of Finance & Operations on operational initiatives and special projects.

  • Conduct software research and support tool evaluation, adoption planning, and company-wide rollouts.

  • Own and maintain the company wiki, ensuring content is current, well-organized, accessible, and useful to employees.

  • Provide staff with guidance on wiki usage and contribute to broader knowledge management efforts.

  • Plan and coordinate company events, team offsites, employee recognition programs, and culture-building initiatives.

Requirements

Must-have Requirements

  • Have 3-5 years of experience in office management, operations, people operations, HR coordination, or a similar generalist role.

  • Have prior experience in a startup or high-growth environment, or demonstrate comfort operating in a fast-moving, ambiguous environment.

  • Have demonstrated ability to build, improve, and document processes that scale with a growing team.

  • Have experience managing facilities, vendor relationships, purchasing, and landlord or building management communications.

  • Are comfortable handling basic IT needs, coordinating external IT support, managing hardware, and supporting software access provisioning.

  • Bring strong organizational skills, exceptional follow-through, and a proactive service mindset.

  • Communicate clearly and professionally in writing and verbally with employees, vendors, candidates, and senior stakeholders.

  • Are comfortable supporting senior stakeholders on projects requiring research, synthesis, execution, and cross-functional coordination.

  • Have working knowledge of HR fundamentals including onboarding, benefits support, employee records, and employment compliance.

  • Exercise a high degree of discretion and sound judgment when handling confidential information.

  • Experience supporting a company through significant headcount growth.

Nice-to-haves

  • Experience owning or managing a company wiki, intranet, or internal knowledge base.

  • Familiarity with an HRIS platform such as Rippling, Gusto, or BambooHR.

  • Experience supporting office or lab space buildouts, construction projects, or facilities expansions.
