WHO ARE WE LOOKING FOR?

Vestwell is seeking a Senior Office Manager to manage physical and remote workplace operations and strategic planning. In this role you will provide oversight of the daily operations of Vestwell work locations (New York, NY & Austin, TX) and distributed workforce. You will report to Vestwell’s Head of People with a strong emphasis on partnership with Vestwell’s Executive Leadership Teams.

WHAT WILL YOU BE DOING?

  • End-to-end workplace management including: providing a white glove experience, external vendor management, organizing team events, coordinating office moves, providing a welcoming new hire experience, and responding to a variety of miscellaneous workplace requests.
  • Foster innovation through the creation of strong internal and external collaborations, crafting effective operational methods, improving service efficiency, and staying attuned to industry trends and tools that propel departmental objectives forward.
  • Establishing clear goals aligned with company expectations and the department's vision.
  • Maintain effective relationships with senior leadership and cross-functional dispersed teams, while ensuring a balance among the requirements of the workplace experience, remote population, and overall business needs.
  • Develop and implement strategies to optimize operational efficiency at each location, guaranteeing adherence to regulatory requirements without sacrificing quality.
  • Identify, track, and analyze key workplace metrics to enhance team member experience, engagement, and efficiency.
  • Collaborate with People Teams, Finance, and IT on facilities-related activities with dependencies on employee attraction, creativity, productivity, and retention.
  • Conduct continuous analysis of present and future requests and requirements, overseeing Service Level Agreements (SLAs) for design, investments, and implementation plans.
  • Champion a team environment that cultivates diversity, equity, inclusion, and innovation, thereby reinforcing a positive workplace experience and solidifying Vestwell’s position as an employer of choice.
  • As the Senior Office Manager you will be required to be onsite at the NYC location 5 days a week.

Your background and experience will include:

  • 5+ years of corporate workplace management of physical and remote populations.
  • Experience working within a unionized building environment.
  • Proven experience with complex operational, process, and workplace improvement projects, translating strategy into actionable outcomes.
  • Demonstrated expertise in successfully managing intricate operational, procedural, and workplace enhancement initiatives, translating strategic visions into tangible and achievable results.
  • Proficient decision-making abilities, with a keen awareness of the repercussions of choices on teams, locations, and global objectives.
  • Proficiency in leading and influencing within a complex, matrixed organization, showcasing remarkable skills in relationship management.
  • Persuasive, credible, and punctual communicator with the capacity to establish trust among colleagues and senior leadership, including the C-suite and external clients.
  • Financially and analytically adept, capable of making informed decisions based on data, critical analysis, and pattern recognition.
  • Robust analytical prowess, coupled with conceptual thinking, strategic planning, and execution skills.
  • Outstanding abilities in communication, organization, project management, analytics, critical thinking, and team-building.

The expected base salary range for this position is $100,000-120,000. This position is eligible to participate in the Company Bonus Pool and is eligible to receive new hire equity in the Company. Please note that salary bands are based on NY and other similar metro areas and may differ based on where the role is ultimately hired.
