Who Are We Looking For?

Vestwell is looking for an Office Coordinator, part-time (9am-1pm EST, Monday - Friday) to undertake a variety of day-to-day office and clerical tasks onsite at our beautiful NYC HQ office. As the Office Coordinator, you will implement a high standard of cleanliness and orderliness for our office. The goal is to ensure that office operations are efficient and add maximum value to the organization. This role will report to the Senior Manager, Workplace Experience.

An excellent Office Coordinator is, above all, detail oriented, eager to learn, and believes no job is too big or small!

What will you be doing:

  • Follow office workflow procedures to ensure maximum efficiency
  • Maintain clean workspaces, common areas, offices, hallways and bathrooms
  • Ensure that the office kitchen is well stocked with snacks, beverages, and utensils as needed
  • Monitor office supplies inventory and inform the Senior Manager, Workplace Experience if we need to place orders or replenish supplies
  • Assist in a variety of clerical tasks including but not limited to mailing, packaging, and other necessary duties related to administration
  • Assist and support any Company wide events as needed

Requirements

The Necessities

  • Former experience as an office coordinator or in a day matron or day porter role
  • Lifting 35-50lbs in weight + Pushing/pulling 35-75lbs
  • Standing or walking for 4-5 hours per shift
  • BasicSkills in Microsoft Suite, Google Suite Products, etc.
  • Liaising with various vendors
  • Managing and Reviewing mail and packages
  • Assisting with office meals
  • Wearing Personal Protective Equipment (PPE) including Safety Glasses, gloves, and back-support as directed per OSHA/MSDS
  • Potential to work additional hours as needed (Events, coverage, etc.)

The expected pay for this position is $30 an hour.

OUR PROCESS

It starts the same for every candidate: getting to know the team members through 1 - 2 conversations about Vestwell, your experience, and your interests. Next steps can vary by role, but the usual next steps are a skill or experience screen (e.g. a coding interview for an Engineer, a portfolio review for a Designer, deeper experience call for other roles) which leads to a virtual or in-person interview panel after that if the screens go well. Before making an offer, our interview process concludes with a references check stage for your recruiter to meet with a current or former supervisor and peer. We prioritize transparency and lack of surprise throughout the process.
